Final Reporting
You must submit your final project report, your final expenditure report and your final data report to the Transformation Fund Team by 23rd April. Once all of these documents have been approved you will receive the final instalment of your funding.

1) Your final project report - Please note that this report is different to the milestone reports that you have previously completed. Please read the guidance below for information on the structure and content required for this report

2) Your final expenditure report - You should have received your expenditure report when you signed your contract and you will have used this to submit your claim for payment in December and at the end of March. You will need to submit a final version of this report which may vary from the version of the report you submitted in March. The final report will need to include any additional costs you may have incurred for the period up to March 31st following the submission of your March expenditure report.
3) Your final data report - You will need to complete this online survey as you did in December. The information you submit must cover the period 16th December 2009 to 31st March 2010. Please read the survey guidance notes below advising you about the data that you need to have available before completing the survey. Do not submit the word file to us, this is for information only. Please note, we only require one aggregate figure for all 'taster' sessions and for all longer courses. Figures entered here should include all activity from 16th December 2009 to 31st March 2010.

The Pre-election period
The period from when the date of the General Election is announced until the close of polling (known informally as 'purdah') is one where public servants at national and local level are subject to strict legal requirements and rules to ensure that public resources are not used to give any candidates an electoral advantage nor put any other candidates at disadvantage.
On 6th May there will be both the general election and local elections (in some areas of England).
Informal adult learning activities are hardly ever big talking points for candidates ahead of an election and many are run entirely without public funding. Nevertheless officials associated with the Transformation Fund are concerned to ensure that projects that have received money as part of the Transformation Fund do NOT promote or publicise the Fund during the pre-election period. This includes invitations to politicians or candidates to visit projects, photo opportunities, launches of publications or exhibitions. If you are holding any events during this time you can talk about informal adult learning but not about the Transformation Fund.
All projects are asked to be extremely careful and responsible in complying with this in the run up to the General Election - to do otherwise could put the chances of any similar initiatives in the future at risk. March Reporting
Please read through the detailed guidance notes below carefully as they include important information about the upcoming reporting processes.

You must submit your updated expenditure report to the Transformation Fund Team by 15th March. This report should include all committed expenditure up to 31st March. You will also need to submit a coversheet to accompany this report and you can find the template for this coversheet below.

Once your expenditure report has been approved you will be able to claim payment for the work that will take place up to 31st March 2010. You will only be able to receive a maximum of 75% of your funding as the final 25% will be released once your final reports have been submitted and approved by us.
December Reporting
You must submit your December milestone report, your expenditure report and your December data report to the Transformation Fund Team by the 15 December. Once all of these reports have been approved you will be able to claim payment for work that has taken place in period 1. Please read through the guidance notes (see below) that explain the process for submitting reports and receiving payment.

Useful contacts
As managers of the Transformation fund, NIACE recognises the need for all successful projects to be supported throughout the duration of the project, especially in the early stages as grants and contracts are awarded.
An email will be sent to all successful projects naming your Relationship Manager and providing contact details for them, plus the Press Officer and Project Manager details.

Relationship Manager
Each project will be assigned a Relationship Manager who will act as the main point of contact for all questions and enquiries you may have.
The team of office based Relationship Managers will be able to advise you on a variety of Transformation Fund queries, ranging from systems and finance information to the status of your contract. If your Relationship Manager is not available, there will always be an alternative Relationship Manager who will be able to answer your question.
There will, of course, be occasions when we need to pass your enquiry to another colleague to answer. In these instances the Relationship Manager will tell you who will be contacting you and afterwards check that you are happy with the answer(s) you have received.
Press Officer
We want to help you publicise your project so that a wide audience can see what you are achieving. Our Press Officer may contact you asking for information on your project so that we can publicise it on your behalf on this website and through the media.
You will only be contacted by one person in our Press Office, which will be confirmed to you by your Relationship Manager at the start of your project.
Transformation Fund Project Manager
A Project Manager has been appointed to oversee all aspects of the Transformation Fund and may also contact you from time to time. This is an opportunity for you to feedback on the level of help and support you are receiving.

Project reference number
All successful Transformation Fund projects have been allocated a unique reference number.
We would be grateful if you could quote your project reference number in any emails or if you telephone us, this will allow us to deal with your query more quickly and allocate it to the correct person.

Communications and publicity support
As part of the criteria for being awarded a Transformation Fund grant, all projects are required to implement a dissemination strategy which may also include communications and publicity.
NIACE has experienced Communications and Publicity Officers who can provide help and advice in forming all or some aspects of these plans.
